How Long Does an Apostille Take: The Stamp Is the Fast Part, the Slow Parts Sit Either Side

Counter-intuitive but true: the DFA stage is the fastest part of the chain. The Authentication Division's FAQ splits processing into regular and expedited tiers, stated as 5 and 2 working days respectively, subject to whatever the DFA currently publishes. What actually pushes people past their deadline sits either side: obtaining the official version, completing prerequisites, and having the file returned once.

The stamp itself: two tiers, priced per document

The official FAQ states regular and expedited processing at 5 and 2 working days. That figure changes, so check apostille.gov.ph before you plan around it.

But working days are not calendar days to collection. Counters have accepted online appointments only since 1 December 2024, and the appointment date itself is a wait. The venue is whatever your confirmation says, so travel from the provinces has to be counted. And uncollected apostilles are destroyed 3 months after the scheduled release date — if you are leaving the country, arrange collection before you go.

The electronic route runs differently. Since 16 March 2026, PSA electronic certificates and CHED electronic credentials are fully digital; documents for convention states are issued as electronic apostilles by email. Confirm first that your recipient accepts them — the DFA states a printed copy is invalid for submission and no printed version is provided.

The three slow stages

Obtaining the underlying original. PSA online requests have delivery cycles and walk-in counters have queues; the NBI, schools and regulators each run to their own pace. This is usually the longest stage and the most underestimated.

Prerequisites. Notarised private documents still need the Regional Trial Court's CANA; diplomas and transcripts need the education regulator's certification first, and the higher-education electronic credential runs online, taking roughly 7 working days when the file is clean.

One return, plus translation. A wrong version, a reversed order or an expired underlying document sends you back to the start — and re-filing needs a fresh appointment. Arrange translation in parallel; many receiving bodies want the certificate and an official translation together.

Plan backwards from the deadline

  1. The recipient's deadline — the one date you cannot move.
  2. Subtract translation and delivery to get the date the apostille must be in hand.
  3. Subtract the processing tier and the appointment date to get the filing date.
  4. Subtract prerequisites and document retrieval to get the date you must order the official version.

Then run 2 checks. Are you ordering too early? NBI clearance and CENOMAR age, and many receiving authorities require civil registry documents issued within 3 or 6 months, so the retrieval date must land inside that window. And have you left room for one return? Most missed deadlines are discovered 3 days out, not at the DFA counter.

Add a stage if you are outside Manila or outside the country. A representative saves the trip, but the authorisation itself takes time — a special power of attorney usually has to be notarised and apostillised where you are.
