Rescheduling an NBI Appointment: Full Calendars, No-Shows and Late Arrivals

Updated 2026-09-19·6 min read·Settling In

Direct answer: a full calendar, a reschedule and a no-show are three different problems. The first is solved by branch and date flexibility, the second inside the portal, the third by whether your payment is still within its validity window.

The expensive approach is to leave it and see. Capacity, proof of payment and document validity each run on their own clock.

When the calendar is full, do not travel first

Direct answer: popular branches filling up is normal, and "full" almost never means nationally full — it means those few days at that branch.

Try four things in order. Move the date rather than the branch, since most people only look at the next few days. Try another site in the same city, as mall-based satellites are usually easier than a main office; directories are covered in where to apply. Refresh at different times, because cancellations return to the pool. And if a hiring date or a filing is forcing the issue, the thing that actually needs to move is the whole schedule — see working the timeline backwards.

One clarification: being unable to book is not a reason to turn up and queue. Why that rarely works is covered in can you walk in without an appointment.

Reschedule inside the existing record, not with a new one

Direct answer: log back into the original account and change the existing booking rather than registering again and paying again. A second booking creates two records and two payments to untangle later.

Watch three things. Whether the payment still counts — proof of payment and the reference number are generally valid for a limited window, within which rescheduling usually needs no new payment, and after which it does; the window is whatever the portal currently states. Whether the branch can be changed in the same action, which depends on the options the portal currently offers. And whether the change actually took, which means returning to check the record's status — see how to check status.

Late arrival and absence are not the same thing

Direct answer: lateness may still be absorbed into the day's gaps; absence generally forfeits the slot.

If you know in advance that you cannot attend, change it in advance — the cheapest of the three outcomes, and usually just a new time. If you are late on the day, whether you can still be seen depends on the queue and local practice, so the practical answer is to build travel and queueing into the plan and arrive early. If you simply do not attend, the slot is gone, and whether the payment carries to a new booking depends on the rules in force. Do not assume money paid stays valid indefinitely.

Documents have their own clock too. You must present unexpired originals on the day, so pushing the appointment back repeatedly can run into passport or residence document expiry, which turns one problem into two.

Does changing branch count as rescheduling?

Direct answer: from your point of view yes, from the system's not necessarily. The booking system is national while the site is a specific place you selected, so a change of location is normally made on the existing booking rather than by starting again elsewhere.

Changing branch is worth it when your original site is full for weeks, when you will be in another city anyway, or when a main office queue will not fit your day. It is not worth it when the gain is two days and the cost is a journey you may not complete on time.

A common misconception is that a certificate issued in a provincial office is somehow weaker. The same system issues the same document; what should decide the location is logistics. More on this in the page on where to apply.

A checklist for before and after the change

Confirm you are in the original account, that the original record still exists and is valid, that the payment and reference number are still inside their validity window, that the new slot leaves room for travel and the rest of the day, that your identity documents are still unexpired on the new date, and that the portal shows the change after you submit it. Save the new confirmation page.

When this collides with travel, a return home or a visa filing running in parallel, more than one appointment needs moving. Yixing (SEC registration CS202009551, BI accreditation CA-202624381-1) works on this line regularly, and sequencing several threads together is cheaper than patching one at a time.

When documents, travel and deadlines are locked together, sequence them first → ask Yixing to plan the whole set

Frequently Asked Questions

How do I reschedule an NBI appointment?
Log back into the original account and change the slot on the existing record rather than registering again. Confirm afterwards that the portal shows the new details, and keep the new confirmation page.
Do I have to pay again when rescheduling?
Usually not, if the proof of payment and reference number are still inside their validity window. Past that window a new payment is required. The window is whatever the portal currently states.
Everything nearby is fully booked. What now?
Push the date back a few days, try another site in the same city, and refresh at different times to catch released cancellations. Often the real fix is adjusting your own deadline chain.
Can I still be seen if I arrive late?
It depends on the queue and local practice that day. There is no general rule, so build travel and queueing into the plan and arrive early.
I missed it entirely. Is my payment wasted?
The slot is forfeited. Whether the payment carries over depends on the rules in force; do not assume it remains valid indefinitely.
Can I switch to a different city?
The system is national and a location change is normally made on the existing booking. The document issued is the same either way, so logistics should decide.
If I cannot book, can I just queue on the day?
The current process is appointment-based, so turning up usually wastes the trip. See our page on walk-ins for the detail and the narrow exceptions.
