You Renewed Your 9G but Forgot the Spouse's and Children's Dependent Visas, and They Expired Months Ago: What to Do

Updated 2026-10-14·9 min read·Visa & HR

Short answer: when the principal's 9G has been renewed and only the spouse's and children's dependent visas have expired, you normally do not cancel and start over. The route is a late dependent renewal plus settlement of the overstay, and the overstay belongs to each dependant personally; the principal's valid status does not offset it. The moment you discover it, do three things: the dependants stop all travel, you work out how long each person has been expired, and you locate the principal's renewal approval and current visa page. This guide covers only the case where the principal is valid and the dependants alone have lapsed. If the principal's own 9G was forgotten, the route is different; see a 9G that expired because you forgot to renew. The composition and calculation of overstay-related charges follow immigration's current schedule; no amounts are given here.

Three things on the day you discover it: stop travel, count the lapse, find the principal's approval

On the day you find the dependent visas expired, do three things before thinking about the fix: no dependant leaves the country or books anything that passes an immigration counter; work out how long the spouse and each child have been expired, separately; and gather the principal's 9G renewal approval, new visa page and ACR card in one place.

Why stop travel first. Once a dependent visa expires, the dependant is in overstay, and the departure counter treats it as such: at best a filing and settlement on the spot before boarding, at worst a record that affects future entry. Some people think "leave first, sort it out later". That is among the worst choices available: the overstay does not vanish from the system when the person leaves, and it comes up at the next entry. Settle the status in-country first, then travel; see can you leave with unpaid fees or an overstay.

Why count separately. The spouse's and children's expiry dates are usually the same, but not always, especially where a child's visa was added later or was transferred to a new passport along the way. Each person's lapse determines the route and the composition of the overstay charges, so check each one rather than assuming.

Why find the principal's approval. The dependent visa rests on the principal's visa. When you file a late dependent renewal, the first thing the counter checks is whether the principal's visa is currently valid and until when. With the approval and new visa page in hand, the dependants have something to attach to; without them, the counter cannot act. Confirm at the same time that the principal's ACR card has been updated to the new validity; see the ACR I-Card renewal guide.

With these three done, you hold the basic material for the fix. Next, work out why it was missed, because the cause often decides who should appear at the counter with you.

Why it happens: dependent visas expire in step with the principal's, but renewal lists them separately

Dependent visas expire with the principal's, yet the renewal petition lists dependants separately. The employer renews only the employee, the agency handles only the principal, and the annual report creates the impression that the year's paperwork is done. Stack the three and the dependants fall through.

The employer renews the employee. The 9G renewal is the employer's petition, and HR cares whether this employee's visa was extended. Dependants are outside the company's obligations. Unless the employee asks for them to be included, the petition names the employee alone. Many families miss precisely after HR changes hands or the company switches agencies, because the new person does not know the employee has accompanying family.

The agency handles what it was engaged for. If the engagement says "9G renewal", the agency renews the principal; dependants are a separate engagement and separate fee. That is a scope issue, not the agency's fault. How dependants are carried across an employer change, and where the breaks happen, is in dependent visas while the principal changes employer; the mechanism of a missed renewal is similar.

The annual report is not a renewal. Reporting each year confirms that you are in the country with your documents; it does not check how long the visa has left. Completing it creates a feeling of "done for the year", and families whose dependent visas expire mid-year are the usual casualties. The difference is explained in the annual report guide.

A child who changed passports is at extra risk. After a visa transfer parents assume the visa is "new", but a transfer changes the record, not the expiry; see transferring a child's dependent visa to a new passport.

Knowing the cause is useful: if the employer or agency slipped, ask them to attend and provide a statement at the late filing; if it was your own oversight, assemble the documents yourself.

What actually lapsed: the visa, the ACR card and the annual report, each in its own state

When a dependent visa expires, three threads are affected at once: the visa enters overstay, the ACR card either expires with it or loses its basis, and the annual report obligation continues but will expose the overstay. A child has a fourth thread, enrolment.

Visa status. From which day the dependant's stay counts as overstay, and how the status is characterised in the meantime, follow immigration's current practice. What is certain is that the overstay is not waived because the principal is valid. A dependent visa is a derivative status, but the overstay is each dependant's own. The general consequences are in how overstay penalties work; no amounts are given here.

ACR I-Card. The card's validity usually tracks the visa, so an expired visa means an expired card. Even where the printed date has not passed, the visa the card rests on has lapsed, and the card will be questioned at a check. When the late renewal is filed, renew or replace the card as well; do not fix the visa and leave the card. See an expired ACR I-Card.

Annual report. The obligation is not suspended by overstay. If the next reporting season arrives before the dependants are fixed, the reporting counter will see the lapse; some counters require the renewal first, others accept the report and send you to fix it afterwards. Finishing before the reporting season is simplest.

A child's enrolment. Schools check status documents at registration and before examinations, and an expired visa will be flagged. Enrolment and status are separate threads; a lapse does not void enrolment by itself, but tell the school a late filing is under way and most will allow time. Family scheduling is covered in preparing before the family's status expires.

One more point: during the lapse the spouse cannot work on any theory. A dependent visa carries no work authorisation when valid, and certainly none when expired. Working requires an AEP and a 9G.

How the fix works: a late dependent renewal on the strength of the principal's valid visa, with the overstay settled

The main line is: using the principal's currently valid 9G as the basis, file a dependent renewal for each dependant and settle the overstay portion under immigration's current rules. Whether a downgrade and fresh application is required instead depends on the length of the lapse and the counter's practice; do not pre-decide it.

Documents. The principal's passport with the new visa page, the renewal approval, and ACR card; each dependant's passport, expired visa page and ACR card; proof of relationship (authenticated marriage and birth certificates; copies usually suffice if filed before, with originals on hand); an employer letter confirming continued employment and that the dependants remain accompanying, which most counters ask for; and the forms and photographs. Exact requirements follow immigration's current practice.

The overstay portion. Charges are assessed per dependant according to the length of each lapse; their components and computation follow immigration's current schedule. One warning: do not use any channel that claims it can "reduce" the assessment. The overstay is a system record, and a reduced figure only produces a record that does not reconcile, which is worse later.

Whether a downgrade comes first. With a short lapse, a valid principal and complete documents, counters usually accept the late dependent renewal with the overstay settled. With a longer lapse or complications, some counters require the dependants to downgrade to visitor status, settle the overstay, and apply afresh. Which route applies follows the counter's practice; ask beforehand and bring documents for both.

Who attends. The spouse in person; minor children's forms are signed by a parent, with the child's attendance per the counter's requirement, explained in do parents have to appear for a minor's immigration procedures. The principal should come too, since the counter may want to verify the principal at any point.

Sequence. File the spouse and children together, not separately, or you create a new mismatch of a fixed spouse and a still-expired child. If the principal's own next renewal is approaching, fix the dependants first, then renew the principal, or the same omission repeats.

Keep every receipt. When the renewals are granted, check that each dependant's new expiry matches the principal's, and ask on the spot if it does not.

While the fix is pending: travel, school and medical care, what is and is not possible

While the late renewal is pending, dependants should not leave the country, children keep attending school with the school informed, and medical care is unaffected. Other transactions wait until the renewal is through.

Travel. Between acceptance of the filing and approval of the new visa, the dependant's status is "overstay under processing". Departure is still treated as overstay at the counter, and an exit clearance may not be obtainable while the application is pending. If an emergency at home makes a trip unavoidable, ask the counter first whether departure mid-process is possible and what it requires; do not go straight to the airport. The clearance rules are in the ECC exit clearance.

School. Children continue attending. Write to the registrar or international student office explaining that the dependent renewal is under way and when it is expected, with a copy of the filing receipt. Schools generally accept the new visa copy within a period. Do not keep the school in the dark; being discovered mid-term is far more trouble than disclosure.

Medical care, banking, daily life. Healthcare does not depend on visa status. Banks may check the validity of identity documents, and some services pause when the ACR card has expired; resume them after the renewal. Lease renewals are generally unaffected, though some landlords ask to see a valid visa; the filing receipt explains the position.

Downgrading, leaving and reapplying from outside. This is a possible route but not the default. Downgrade, settle the overstay, depart, re-enter as a visitor, then apply for the dependent visa from scratch: the chain is longer than an in-country fix, and the fresh application starts with a full document set. Consider it only when the counter requires it or the dependant was returning home for a long stay anyway.

Avoid piling further status changes onto the household during the fix, such as the principal changing employer or passport, because they change what the dependants attach to and stretch the whole process. The work-permit record after a passport change is covered in AEP still showing the old passport number, but that comes after the dependants are fixed.

Never again: three mechanisms, and what Yixing can do

The way to prevent a repeat is not "remember next time". It is writing the dependants into the scope of every principal renewal, keeping the whole family's expiry dates on one sheet, and setting a reminder that reaches two people.

  1. Write it into the engagement. At the next renewal, whether the employer or an agency files, confirm in writing that "this renewal includes the following dependants" with their names. When HR or the agency changes hands, that written confirmation is the only thing that survives the handover.
  2. One sheet. Visa expiry, ACR card expiry and passport expiry for the principal, the spouse and each child, posted at home and updated after every transaction. Children's dates often drift from the adults'; see preparing before the family's status expires.
  3. Two people's reminders. A reminder on the principal's phone alone is lost to travel or a new handset. The spouse sets one too, and the employer's HR is told the date.

One addition: because dependent visas run in step with the principal's, every renewal of the principal is the dependants' renewal moment. Whenever the principal changes employer, remarries and adds a spouse, or the household changes, re-check the dependants list. Adding a new spouse after remarriage is covered in adding a new spouse to a 9G dependent visa. The case where the dependent visa's basis disappears entirely, on the principal's death, is handled completely differently; see dependants' status after the principal's death.

What Yixing can do. Yixing is a privately owned consultancy registered in the Philippines (SEC Registration No. CS202009551), accredited by the Bureau of Immigration (BI Accreditation No. CA-202624381-1, valid to 2027-06-30), by the Department of Labor and Employment (DOLE) and by the Philippine Retirement Authority (PRA). We are not part of any government agency, cannot promise any outcome, and will not "reduce" an overstay for you. For a missed dependent renewal we can compute each dependant's lapse and status, confirm with the counter whether the case goes by direct late renewal or by downgrade first, list the documents and help obtain the employer's letter, arrange a single family attendance, check the new expiry dates and ACR cards afterwards, and record the dependants list for the next renewal engagement. Reach us through Visa & HR services. Requirements and overstay-related charges follow immigration's current practice and schedule; this article is a process summary, not legal advice.

Frequently Asked Questions

My 9G was renewed but my spouse's and children's dependent visas expired months ago. Do we cancel and start over?
Usually not. With the principal valid, the route is a late dependent renewal for each dependant on the strength of the principal's renewal approval and current visa, with the overstay portion settled under immigration's current rules. Whether a downgrade and fresh application is required instead depends on the length of the lapse and the counter's practice, so ask beforehand and bring documents for both routes.
The principal's visa is valid. Is the dependants' overstay waived?
No. A dependent visa is a derivative status, but the overstay belongs to each dependant personally and is not offset by the principal's validity. Count the spouse's and each child's lapse separately; the components and computation of the charges follow immigration's current schedule. Avoid any channel claiming to reduce the assessment, because a reduced figure leaves a record that does not reconcile.
What is the first thing to do on discovering the dependent visas expired?
Three things: the dependants stop all travel and anything that passes an immigration counter; work out how long the spouse and each child have been expired; and gather the principal's renewal approval, new visa page and ACR card. Then establish why it was missed, whether by the employer, the agency or yourselves, because that decides who should attend and provide a statement at the late filing.
Why were the dependants not renewed along with me?
Because the renewal petition lists dependants separately. The employer renews the employee only unless asked to include the family; an agency handles only what it was engaged for; and the annual report creates the impression the year's paperwork is finished. Misses are most common after HR or the agency changes hands, since the new person does not know about the family. Confirm the dependants in writing at every renewal.
Can the dependants travel while the late renewal is pending? Can the children attend school?
Do not travel. Between filing and approval the status is overstay under processing; departure is still treated as overstay, and an exit clearance may not be available while the application is pending. For a genuine emergency, ask the counter first. Children keep attending school; inform the registrar in writing with a copy of the filing receipt, and most schools allow time to submit the new visa. Medical care is unaffected.
What documents does the late dependent renewal need?
The principal's passport, new visa page, renewal approval and ACR card; each dependant's passport, expired visa page and ACR card; authenticated marriage and birth certificates (copies if filed before, originals on hand); an employer letter confirming continued employment and accompanying dependants; and the forms and photographs. Exact requirements follow immigration's current practice. File the spouse and children together.
How do we make sure this never happens again?
Three mechanisms: confirm in writing at every principal renewal that it includes the named dependants, so the instruction survives a change of HR or agency; keep every family member's visa, ACR card and passport expiry on one sheet, updated after each transaction; and set expiry reminders on both the principal's and the spouse's phones, with the employer's HR informed. Re-check the dependants list whenever the household changes.
