The Company Keeps Saying It Is Being Processed: How to Tell Where a 9G Is Actually Stuck

Short answer: before chasing anyone, split "we are working on it" into three states — never started, filed but dormant, approved but uncollected. Each has a different remedy, and chasing the wrong one wastes weeks.

The employer is the legal petitioner, so you cannot push the file yourself. That does not mean you have no leverage: Department Order No. 248, series of 2025 and the 2026 online process both publish deadlines, and those deadlines are your handle.

Three stalled states, not one

Never started. No newspaper publication, no establishment registration number, no online filing record. "Being processed" here usually means internal approval or budget.

Filed but dormant. The file went in, was returned for incomplete documents, or a notice is sitting unread in a mailbox. Incomplete applications are not processed but returned, which means the clock never started.

Approved but uncollected. The permit issued and nobody claimed it, or immigration approved the petition and implementation and biometrics were never scheduled. This is the saddest one, because the gap is usually one appointment.

How to tell without relying on what you are told

Ask for three provable things rather than asking how it is going.

First, the newspaper clipping. Publication runs at least 15 days before filing in a newspaper of general circulation and is valid 45 days from the date it appears. Its existence settles whether anything started.

Second, the online filing acknowledgement and the payment record. Since 3 September 2026 new, renewal, exemption and exclusion applications go through the official portal only, and processing runs 15 working days after payment, so both should exist.

Two published deadlines you can cite

The filing window after signing. Under Department Order No. 248, series of 2025 and its amendments, the application is filed within 15 calendar days of the employment contract or appointment letter, and late filing itself is penalised, at whatever rate the department currently publishes. That duty sits with the employer.

The card release window. Failing without valid reason to claim the card within 10 working days of the issuance notice, or failing to submit pre-release documents, is listed as a ground for cancelling the permit. "We will pick it up when someone is free" has a price.

There is also an ongoing duty: a quarterly list of foreign employees within 30 calendar days of each quarter's end, and reports of changes to company name, address, worksite or employee separation within 10 calendar days. Putting these in an email works better than repeating yourself in person.

While it drags, the exposure lands on you

Compliance is the employer's duty, but if an inspection lands it is your status that breaks first. Working without a valid permit is working without authorisation; working long term on a visitor status is more exposed still.

Escalate inward first, in writing second, outward last

Get a named owner. "HR is on it" is not an answer. You want a name, a mailbox and a route to whoever signs. Most delay is not reluctance; it is an authorisation chain that ends with a signatory in another country.

Convert conversations into writing. One email stating the job title, the contract date, the publication date if any, the filing date and method, and the three things you are asking to have confirmed. It chases the file and it records that you did your part.

Can I file it myself?

No. The employer is the petitioner and only the employer can produce the corporate registration, tax filings, audited statements and authority chain. What you can do is have your own documents and authentications ready and push for a named owner.

When should I start looking elsewhere?

When three signals appear together: no provable evidence, no named owner, and written questions going unanswered. Plan where your status lands next before you move.

Will complaining damage the relationship?

Yes, which is why it is the last step. Do the internal and written steps first and keep the record; if you do go external, understand the intake scope and plan the status handover.
