Triage: which of the three is it?

Turned away at the counter. The documents failed initial checking and nothing entered the process. Lightest case: fix and return.

A written query. The filing was accepted but something must be supplemented or clarified, usually within a stated period. The danger here is the deadline, not the difficulty.

A formal denial, with a document stating a conclusion. Only this enters appeal territory — see appealing after expiry.

Mis-triage costs real time: preparing an appeal against a counter refusal wastes weeks, and treating a written query casually turns it into the third category.

Turned away: fix and return

This is almost never "missing documents" but documents with a problem: a third-party paper past its window, spelling that differs from the passport, insufficient passport validity, a gap in the record chain, unresolved items, or the wrong office.

Ask three things before you leave: exactly which item failed, what an acceptable version looks like, and whether you return here or go elsewhere. The third is most often forgotten — see where to file.

A written query: the deadline is the point

Read the period and the service date before you touch the documents. Periods normally run from service, and missing one is not reversible.

Then read the wording precisely. Supplying an additional document and resolving a contradiction are different tasks; the second needs an explanation consistent with what you already filed.

Confirm your status meanwhile. A filing under review does not push your expiry back — see travelling while a filing is pending.

If you genuinely cannot comply in time, saying so beats silence, though it is not a guarantee.

A formal denial: read before deciding

Read three things: who issued it, what it concludes, and the period stated on its face. Those decide your available routes.

Then decide whether an appeal is even right. If the problem is a fixable fact — a document that should have been issued differently — re-preparing and re-filing is sometimes faster and safer.

Keep status and appeal separate. An appeal does not by itself make your presence lawful, and your stay still needs handling in the meantime.
